Board of Directors Meeting Minutes

Members Present:  Rob Scheuer, Linda Dalton, Kevin Milak, John Swank, Bill Conroy, Karie Sommers, John Hazle

Absent: Rick Alspaugh

Rob: invited KHS and KPHS coaches to speak at the Sept. 5 BTA parent meeting. He distributed the BTA coaches’ contract for board members review. Coaches development was discussed.

Bill: suggested that Mark Krimm because of his Young Life position should do some coaching of the teen swimmers. Rob noted that he is just limited to ten hours coaching a week.

John Swank: said that he did an annual equipment check at KHS and KPHS. He said that he has booked the Gulf Swimming Host Trailer A which contains System 5 and 6
consoles to use at the BTA home meets. He noted that he has not found anyone to attend the Gulf Swimming mandatory console training and will talk to Jay Cookingham with the Gulf about BTA not attending. He said that the Gulf confirmed that meet safety marshals must be registered with USA Swimming.

Rob: The YMCA has been given the lease agreement to be approved by their board.
The only change made from last year was the dates. He said that BTA has purchased new plastic chairs for ACC.

John Hazle: and Rick will meet with the new president of Lone Star College – Kingwood to determine if they are still on track with the 50m pool space.

Bill: noted that BTA has spent $4,500 on marketing to date this year. He then presented the P & L statement and a balance sheet through 8/27/08. He said that he will do a Power Point with bullet points about BTA’s finances for the parent meeting. John Swank estimated that the Summer Champs meet cleared $11,000.

Linda: gave an update on publicity. She wrote an article on Zones and LC TAGS results. She said that the team got publicity for its Zones Teams members, but the TAGS article was only published by KingwoodNow.com  It was suggested that she re-send the TAGS article and see if the newspapers pick it up. She said that Toni Teel will be distributing
Now Registering flyers at Humble ISD schools to extend the recruitment marketing.
In addition, Linda had the Blue Tide logo re-drawn in vector format - a better quality art to be used on the swimsuits and advertising.

 Karie: said registration went well and she distributed the team roster with 152 swimmers to date. She motioned that the board approve the team roster which was seconded by John Swank and approved unanimously by the board. She suggested that we break up registration into two volunteer shifts next year. She thought that the space at KHS for registration was too small and plans to be back in the gym next year. She said that Cheryl Berude has agreed to be the New Swimmer Liaison.

Kevin: suggested that Cheryl have a New Parents meeting two weeks before the first meet entry was due. In regards to registration, he noted that he had received 12 additional calls about kids joining the team and he invited them to attend practice that week to try out the team. He said that because of the large response to the 10 and Under group, Emily and Josh will be co-coaching that practice group.

Bill: asked whether he could allow members who originally signed up for month to month agreements to switch to an annual contract by February and make their dues retroactive to the annual contract rate. The board agreed to that policy.

John Swank: talked about the two BTA home meets scheduled for Oct. 18-19 and Nov. 21-23 at KHS. He said that he has contacted the KHS National Honor Society about
operating the Ready Bench.

Rob: said that each board member needed to pick a practice team and act as their practice team representative. The following assignments were made for non-aquatic issues:

Jr. Blue: John Hazle; Jr. Orange: Linda Dalton;Tidal Wave: Karie Sommers;
Sr. 1: John Swank; Sr. 2: Rob Scheuer; Sr. Elite: Bill Conroy;                                    10 & U: Rick Alspaugh

Rob: noted that if a coach does not get back to a parent within 48 hours that the parent should then follow up with their team representative. He then discussed the logistics of the Annual Parents Meeting. By-law changes will be up for vote. Sept. 13 was the
date set for the LC party at ACC. Sept. 21 was the Gulf Swimming Banquet.

Kevin: said that the meet entry drop box will once again be used at KHS. At KPHS, the coaches will carry a briefcase to collect meet entries. Meggin Vitarius will be coordinating meet entries. He said that he is looking for an assistant to help with coaching the older
practice groups.
