Board of Directors Meeting Minutes
May 2008

Members Present: Rob Scheuer, Kevin Milak, John Hazle, Melissa Sturgis, Karie Sommers, Bill Conroy, John Swank, Rick Alspaugh and Linda Dalton
Coaches Report: Splash program is going very well. Next session starting June 23rd.
Met with the Gulf Coach and now have to go through a “proof of times” process which involves lots of paperwork. Parents are going to have to pay the bill for the kids who didn’t have proper times to enter and for no shows. Bill Conroy will handle billing parents for false times and no shows.
Texas A&M Senior Meet – bulkhead was not placed properly so no times were counted for swimmers Friday, Sat and Sunday morning. Pools have to be laser measured before meets will be sanctioned from now on.
Coach Kyle is leaving BTA and we are looking to hire ASAP. Coach from Klein area is very interested and has vast experience. She works well with Coach Emily and Kevin. Her decision is due mid-June. Rob will send out email when decision is reached.
VP Report: John S - Summer Champs is almost here. Volunteers are slowly signing up-most are Board members. We need lights for outside for safety reasons with all the construction going on. We need console volunteers and we are making 8 wooden starting blocks for use at the meet. Much more discussion about logistics of summer champs meet.
Fundraising Report: John H – talking to people to help plan the 50 meter pool. Rick and Linda will help with this issue. Is there a relationship at Kingwood College/Lone Star College we can use? Are out contacts still there? John H. will talk to Chris Day. Committee will be small for initial planning now and then an email will go out to invite membership to help.
Danielle Luhrs will help with the fundraising/auction in the fall. Swimmers could have a bake sale at Ace Hardware-KHS Girls’ lacrosse raised a lot of money this way.
Publicity Report: Linda: great coverage on Paul Kornfeld in the Chronicle. Ads will run in the Tribune and working on ads for the heat sheets. There is now a timeline for publicity for the year. So far, $700 in ad sales for heat sheets.
Booster Club Report: We’ll order $500 worth of merchandise to stock the Swim Shops store. Melissa and Linda will get together and pass on information to Angela.
Secretary’s Report: Melissa: an email will go out announcing the 2 - $500 scholarships. One is for financial help with dues and the other is to a senior swimmer going on to college. Melissa will ask RC’s Pizza to donate pasta for the summer champs meet. Fine Designs is confirmed for t-shirt sales.
Treasurer's Report: Bill: we may be adding a 3rd instructor to Splash for June session. Need to ask Katie if she wants another ad. Splash has grown from 1 to 3 instructors in 6 months.
Let’s promote Splash to our membership!
Registrar's Report: Karie: Fall registration is the 1st week of school. BTA starts September 4th. Reg. dates are Aug. 26-28.
President's Report: Professional Development for coaching staff. Kevin will put together a list of the Top 10 things he is responsible for as Head Coach and we’ll develop a plan for professional development from there.
KPHS is fine and their coaches are very accommodating to our coaches. They want to work with us more.
Next fall, KPHS coach will work with year-round swimmers at workouts during the 1st
hour. Kevin will write out the workouts.
Bathrooms at ACC are in bad shape. Rob wil contact the club management.
Tidwell start up – need parents to help. Email to go out asking for parent volunteers.
Zoe Simpson retired today. Lots of changes coming at HISD. Hopefully Margot our contact will remain
Rob and Kevin met with KHS Coach Duin to plan next year’s events and activities.
New Athletic Director is well aware of BTA success, seems very positive and wants to work with us.
At the parent orientation meeting in Sept. we’ll invite the high school coaches in our area to show the swimming family relationship with HISD.
There will be a Fall mixer/meeting for parents. An orientation of sorts and a chance to meet new parents and socialize. September 6, 7-9 p.m. at Kingwood Country Club.
Bylaws will be updated in preparation for September meeting so members can vote on them.
The next BOD Meeting will be July 1st
