Board of Directors Meeting Minutes

Members Present: Rob Scheuer, , Kevin Milak, Russell Kneisley, John Swank, Melissa Sturgis, Karie Sommers, Bill Conroy, Kevin Milak, Rick Alspaugh Absent:  John Hazle

Rick: Meet concessions - $5154. After expenses we had a net of $3241 for the two meets.
We had major problems getting volunteers at the meets. What can we do to improve our volunteer base?

Should we review the by-laws and change the volunteer requirement? 

Where are the most volunteers needed?   Take down at meets is an issue. Volunteers for concessions on Sat. were down 50%.

Do we need an orientation for volunteer jobs at registration?  Do people forget about their volunteer obligation?  After registration, we could have team meetings to explain the volunteer obligations and other info.

Do we need to make phone calls to remind people of their obligation?

John Swank will look at list to see how many families volunteered and who owes us hours.

John S.: Summer Champs meet-which pool will we have? KHS is it for now but we have to check availability. John is emailing Margot at HISD.

Have to start building starting blocks. KHS shallow end (3.5 feet) is not deep enough according to regulation so starting blocks are not high enough.

Starting blocks have to be half the height of current ones at KHS.

Will the gym be available for summer champs too? Commons area?

The meet will be a 3-day meet. How do we stager the age groups?

Rob- ACC not being used. YMCA-all is good here.

A new Middle School is going in off the Beltway and will be combined with a new YMCA.  There will be a new pool there but not a 50- meter pool. We will request pool time.

Riverchase – we are out of there and moved tarps and rollers to ACC. Suggestion was made to give $250 cash to GTRC towards new outdoor furniture as a thank you from BTA. Motion approved.

Things are pretty good at KHS. Coach Duin is looking into using the breezeway for BTA stuff.

KPHS-John Swank, Rob Scheuer and Kevin Milak met with the school’s coaching staff and administrators about the rules for the pool. It is a very nice facility.

Parent survey to go out after the holidays. Some small changes in questions will be made.

TAGS flags-Kathy Ciliske has these and we will hang them up to match KHS flags per Coach Duin.

Bill-we had talked about auditing the books but all appears fine. No CPA audit is necessary.

Karie-3 new registered swimmers (returning BTA) came in this month, all on National. 134 swimmers and 104 families.

Melissa – Holiday party at the Luhrs home on Dec. 15th.  Senior Blue/Orange informal get together at Skeeter’s set for Dec 8th.

Kevin: Tideline-still a problem. We are looking at an answering machine as an option. 
Rick suggested we use “Extension 19” service. Ms. Andy Szabo knows Rick well and her company may be able to help out.

All Star meet was not well done-poorly run and swimmer’s times were not good. They tried to do too much too fast.

Next meeting is Jan. 15th and then we will get back on track with the Feb. meeting – last Tues. in Feb.
